SUBJECT: Remove Students from Course Sites

Dear Blackboard Instructors for Fall 05,

A few weeks ago the Drop/Add period officially ended. Now that course rosters have stabilized, it is time now to "remove" those students from your Blackboard course rosters who are NOT officially registered for your course(s). By removing these students from your roster, you remove their link access to your course site.

In this message, you will find information on how to

view your official roster in Web Advisor,
remove students from your Blackboard roster, and
add a student to your Blackboard roster.

Please note, removal of students not registered for courses is the responsibility of the course instructor. This action is not something the Help Desk or BB Support can do for you and it is not an automated task at this time. If you encounter problems removing students, please send an email to bbsupport@duq.edu or contact the Help Desk at 412.396.4357.

HOW TO VIEW YOUR OFFICIAL ROSTER IN WEB ADVISOR

Before removing any students from your Blackboard course site, you should view your official roster available to you online in WebAdvisor.

To access Web Advisor, please follow the instructions below

  1. Click on the new WebAdvisor Tab in Balckboard or open a web browser and enter this URL: http://www.webadvisor.duq.edu/

  2. At the Web Advisor home page, click on the USE WEB ADVISOR NOW link.

  3. At the next screen, select the WEB ADVISOR FOR FACULTY link.

  4. At the next screen, select the CLASS ROSTER link.

  5. At the login prompt, use the following information to log in:

  6. For username, use the same username as you use to login into Blackboard.

For the password -- If this is your first time logging in to Web Advisor, use the last four digits of your social security number. You will be prompted to change your password and log in again.

  • If have accessed Web Advisor before, then use the password you created previously.

  • If you cannot remember your password, please check the "show password hint" at the login screen for assistance.

  • If you continue to have problems, please contact the Registrar for a password reset

  1. After you have successfully logged into Web Advisor, use the drop down menu at the next screen to select your rosters for Fall 2005 semester.

  2. Next select a course roster to view. Your course roster will show the most current list of students in your course. If you cannot find your course roster, then the course has not been associated with you. You need to contact your Department's Administrative Assistant so this change/update can be made.

  3. Print the WebAdvisor roster or open a new browser window to access Blackboard.

  4. Compare the Web Advisor roster with your Blackboard course roster (see instructions below for accessing your Blackboard course roster).

  5. Remove those students from your Blackboard roster who do NOT appear on your Web Advisor roster. See instructions in the next item for removing students from Blackboard.

NOTE #1: If a student appears on both your Web Advisor and Blackboard rosters but has not shown for class or you believe is dropping your course, DO NOT REMOVE THE STUDENT YET. Students remain officially enrolled for your course until their names are removed from the WebAdvisor roster. They will continue to reappear on your roster during the daily uploads until they are officially dropped from your course.

You will find the student's Duquesne e-mail address in the Web Advisor roster or in your course site. Send the student an e-mail indicating he/she should contact his/her advisor to process a drop for your course.

NOTE #2: Please be careful not to remove the wrong student. When a student is removed from a Blackboard course site, all grades, assignment module and digital drop box submissions are permanently removed. All Discussion Board postings will be reverted to "anonymous."

HOW TO REMOVE STUDENTS FROM YOUR BLACKBOARD COURSE ROSTER

Your Blackboard course roster must match your official course roster. By request of the Provost and Registrar only officially enrolled students should have access to your Blackboard course sites. By removing students who are not officially registered for your course, you maintain the integrity of your course site for your current students as well as for future students of the course.

Before you remove a student from you Blackboard course, you need to compare your "official" roster in Web Advisor (see the item above) to make sure the student is NOT registered for your course.

When you remove a student from your Blackboard course site, you permanently remove all gradebook, assignment module, discussion board, and digital drop box entries associated with the student, so please be sure that you are removing the correct student. If you are in doubt about a student's status in your course, please check your roster in Web Advisor (see the next item).

To remove students one at a time from your Blackboard course roster, follow the instructions below: (recommended)

  1. Go to your Blackboard course and to its Control Panel.

  2. Locate the User Management area and click on REMOVE USERS.

  3. At the Search prompt, enter the student's last name in the search box.

  4. When the student's name appears, select the box next to the name.

  5. Next, scroll to the bottom of the page, and type Yes in the box. You must type Yes exactly as it appears next to the box: capital Y, lowercase e and s.

  6. Click Submit.

To remove several students in the list,

  1. Go to your Blackboard course and to its Control Panel.

  2. Locate the User Management area and click on REMOVE USERS.

  3. Click on the SEARCH button at the Search prompt. Bb will display the first 25 names in your course. At the bottom of the page, you will see links for additional pages.

  4. Select the box next to the name of the students you wish to remove in the list of 25.

  5. Next, scroll to the bottom of the page, and type Yes in the box. You must type Yes exactly as it appears next to the box: capital Y, lowercase e and s.

  6. Click Submit.

  7. Repeat the above process to remove your students.

HOW TO ADD STUDENTS TO YOUR BLACKBOARD COURSE

If a student is on your Web Advisor roster but not on your Blackboard roster, then that student will be enrolled in your Blackboard course within 1 to 2 business days. Rosters are uploaded into Blackboard courses each morning, Monday – Friday, throughout the duration of the semester.
